Solutions

Three solutions that follow the employee lifecycle

Onboarding, monthly HR administration and year-end adjustment — connected by one employee directory and one way of reviewing and approving work.

Three processes

  1. 01When someone joins

    Onboarding

Create an onboarding case from a template and collect documents through the employee portal. Check for missing or inconsistent items and record the approval.

    • Employee portal in Japanese, Vietnamese and English
    • Residence cards and other documents, checked by AI
    • Missing and inconsistent items, with follow-ups
  2. 02Every month

    Monthly HR

Track change requests such as address or bank account changes, plus the month’s new hires and leavers, on a checklist — then hand them to payroll as CSV.

    • A checklist for each month
    • Change requests from employees, with approval
    • CSV export for the handoff
  3. 03Every autumn to December

    Year-end adjustment

Employees answer questions instead of filling in forms and upload their certificates. HR reviews, requests corrections, approves and exports CSV for payroll software.

    • 2026 declarations as questions, in three languages
    • Documents incl. those for dependants abroad, with checks
    • Review, correction and approval history

The shared foundation

All three processes are built on shared employee records and Document AI.

Employee recordsAvailable
Employee number, names including romaji, employment type, department, hire date and more in one directory. Sensitive fields are restricted by role.
Document AIAvailable (setup required)
File validation, document-type estimates, field extraction with source references and missing-field detection. A person always reviews the result.
AvailableAvailable (setup required)Planned

"Setup required" features need a connected AI provider and must be enabled by your organisation admin. "Planned" features have not been started yet and cannot be used.

Scope

Payroll and government filings stay with the systems and advisers you already use.

Kiriwake collects and checks documents, attendance and expense information, then hands it to the next person accurately. Year-end tax can be calculated in Kiriwake, with HR checking the results. Monthly payroll calculation and government filings stay with your payroll software and professional advisers.

What Kiriwake does

  • Collects and checks onboarding documents and year-end declarations
  • Calculates year-end tax and the refund or shortfall (checked and finalized by HR), and creates withholding slip PDFs
  • Keeps employee records and handles change requests with approval
  • Compiles each month’s new hires, leavers and changes
  • Clock-ins, timesheets and leave requests with approval, plus monthly close
  • Expense claims with approval, and CSV for bookkeeping and bank transfers
  • Exports reviewed data as CSV

What Kiriwake does not do

  • Payroll calculation, payslips or overtime premium calculation
  • Preparing salary payment reports or the statutory records summary
  • Electronic social insurance filings, or filing via e-Tax or eLTAX
  • Managing supplier invoices or making payments

How the handoff works

  • Labour and social security attorney (sharoushi)
  • Tax accountant

CSV files use a general-purpose format. Year-end data can also be exported in the generic-data layouts of PCA Kyuyo (PCA給与); importing these files into PCA Kyuyo has not been tested yet. We will check how to import files into your payroll software together during the pilot.
